4. Optional Artificial Intelligence Features

Apna Billbook offers optional AI features, including menu upload from photos/PDFs, purchase-bill parsing, product/store image generation, and related suggestions. These features are optional; you can use the rest of the app without them.

When you choose to use an AI feature, relevant data is first sent to Apna Billbook servers and then processed by Google LLC on our behalf:

• Google Gemini AI — to extract structured menu or bill data from images/documents, generate images, and provide related AI suggestions.
• Google Cloud Vision — to extract text (OCR) from photos and documents when needed for those features.

Depending on the feature you use, this may include text prompts you enter; product names, categories, and store/business details for image generation; and photos, PDFs, or other documents you upload for menu or purchase-bill parsing, plus text extracted from them. Uploaded materials may contain business name, address, phone number, email, GSTIN, prices, menu/product details, or other information printed on the document. Excel/CSV menu import is processed on our servers and is not sent to Google Gemini.

We use this processing only to provide the AI feature you requested. On iOS, we ask for your permission before sending data to these Google services for optional AI features. You can decline and continue using Apna Billbook without those AI features.

5. Data Security

We use industry-standard security measures to protect your data, including:

• Secure servers and encrypted storage
• SSL encryption for data transmission
• Role-based access and authentication protocols
• While we take all necessary steps to protect your data, no system can be 100% secure. You are also responsible for maintaining the confidentiality of your account credentials.
